Refund Policy
Our approach to refunds differs between custom software engagements and physical hardware products. This page explains both, plainly and specifically.
Last updated: July 9, 2026
1. Overview
TechByte Studios delivers two broad categories of offering: custom digital services (software development, automation, cloud, AI integration) and physical hardware products (kiosks, POS terminals, printing systems, and related equipment). Because these two categories carry fundamentally different cost structures and delivery mechanics, we apply different refund treatment to each, set out below. Where a specific signed contract or invoice includes refund terms that differ from this page, the terms of that signed agreement take precedence for that engagement.
This page reflects the refund practices we would apply to real commercial engagements. As noted throughout this Site, the checkout flow presented here is a demonstration only, and no live payments or real refunds are processed through it.
2. Digital Products & Custom Software Services
Custom software development, automation builds, cloud configuration, AI integration work, and similar digital engagements are, as a general rule, non-refundable once delivered or once development work has commenced. This reflects the nature of bespoke technical work: effort, engineering time, and third-party tooling costs are incurred from the outset of a project, well before a final deliverable is handed over, and cannot be "returned" in the way a physical product can.
For engagements delivered in milestones, work and payment already completed against a delivered and accepted milestone is non-refundable. If a project is paused or cancelled partway through, we will invoice for work completed up to that point and refund only the portion of any advance payment that corresponds to work not yet started, at our discretion and subject to the terms of the signed statement of work.
If a delivered software product materially fails to meet the documented, agreed specifications in the statement of work — and the issue is not attributable to a change in requirements, third-party service outage, or misuse — we will first attempt to remedy the defect through correction or rework within a reasonable period. A refund for digital services is considered only where such remedy is not reasonably possible and is evaluated on a case-by-case basis in line with the governing service agreement.
3. Hardware & Physical Products
Physical products — including QR printing kiosks, point-of-sale terminals, attendance systems, and related hardware — follow the return and warranty terms agreed at the time of purchase, summarised here:
- Hardware may be returned within a reasonable window from the date of delivery, typically seven (7) calendar days, provided the item is undamaged, unused beyond reasonable inspection, and returned in its original packaging with all accessories, manuals, and included components.
- Items found to be defective on arrival, or that develop a manufacturing fault covered under warranty, are eligible for repair, replacement, or refund at our discretion, provided the defect is reported within the applicable defect-reporting window described in Section 4.
- Custom-configured or client-specified hardware (for example, kiosks built to a bespoke enclosure or branding specification) is treated as a made-to-order item and is non-returnable for change-of-mind reasons, though the defect-based warranty terms above still apply.
- Return shipping costs for change-of-mind returns are borne by the client; return shipping costs for verified defective items are borne by TechByte Studios.
4. Refund Eligibility Criteria
To be eligible for a refund, a request generally must meet the following criteria:
- Hardware defects must be reported within seven (7) days of delivery, accompanied by a description and, where possible, photographic or video evidence of the fault.
- Hardware change-of-mind returns must be initiated within seven (7) calendar days of delivery, with the item unused, undamaged, and in its original packaging.
- Digital service disputes must relate to a documented, agreed specification in a signed statement of work, and must be raised within a reasonable period of the relevant deliverable being provided.
- The purchase or engagement must have been made directly with TechByte Studios, and proof of purchase or a reference to the relevant invoice or agreement must be provided.
5. How to Request a Refund
To request a refund or report a defect, contact our support team using the details in Section 8, including the following information:
- Your name, company, and the invoice or order reference;
- A clear description of the issue, including dates and, for hardware, photos or video where relevant;
- For digital services, the specific clause or specification in the statement of work that you believe was not met.
We will acknowledge your request within two (2) business days and advise on next steps, which may include a request for additional information, an offer of repair or rework, or approval of a refund where warranted.
6. Refund Processing Time
Once a refund is approved, we aim to process it within 7 to 14 business days. Refunds are issued using the same payment method used for the original transaction wherever possible. Depending on your bank or payment provider, it may take a small number of additional business days for the refunded amount to reflect in your account after we process it on our end.
7. Non-Refundable Circumstances
The following are generally not eligible for a refund:
- Custom software work already delivered, accepted, or corresponding to milestones already completed;
- Digital services where the reported issue results from a change in client requirements after work began, rather than a failure to meet the originally agreed specification;
- Hardware returned outside the applicable return or defect-reporting window;
- Hardware damaged through misuse, unauthorised modification, improper installation, or normal wear and tear;
- Custom-configured or bespoke hardware returned for change-of-mind reasons;
- Third-party licensing, hosting, or subscription costs already incurred on the client's behalf.
